Workflow

A typical month

At the start of the month, review the Parent Care wallet balance and confirm the budget alert is still set. Log elder care expenses as they happen — even small copays add up to $7,000 a year on average. Mid-month, glance at the Caregiver Out-of-Pocket budget bar on the Dashboard; if the alert fires, you have time to adjust. At month end, open Reports to see the combined parent care and childcare totals, then transfer a fixed amount to the Emergency Care Fund goal.

When to revisit

  • When a parent's care needs change (new diagnosis, home modifications, or move to assisted living)
  • When childcare costs shift (new school year, activity changes)
  • After a sibling agrees or stops sharing costs
  • If you reduce or increase work hours due to caregiving duties
  • Before annual benefits enrollment — Expense Trail data can inform your FSA or HSA contribution decisions (it does not file those for you)

If siblings contribute to parent care costs, log each payment as income in the Parent Care wallet so your net out-of-pocket figure stays accurate in Reports.

Measuring success

You are done when: the Parent Care and Childcare wallets each show accurate monthly totals; the Caregiver Out-of-Pocket budget alert fires before you overspend (not after); the Emergency Care Fund goal has at least one month of average elder care costs saved; and you can answer "what did caregiving cost us this month?" from Reports without opening a spreadsheet.

Honest limits

Expense Trail does not track time spent caregiving, link to bank accounts, process insurance reimbursements automatically, or provide tax advice on the caregiver tax credit. It records what you log, caps what you set, and exports what you need — manual, private, and honest about its scope.

Frequently asked questions

Can I track costs shared with siblings?

Yes. Log each sibling's payment as income in the Parent Care wallet. Your running balance then reflects your actual net out-of-pocket share, and Reports shows the full picture. Expense Trail does not split bills between family members automatically — you enter the amounts.

How do I handle elder care emergencies?

Use the Emergency Care Fund savings goal to set a target and track contributions. When an emergency hits, log the expense in the Parent Care wallet as normal. The goal balance shows how much buffer remains. For large unexpected costs, add a note in the transaction description so you can review it later.

Can I track time as well as money?

No. Expense Trail is a financial tracker — it records monetary transactions, budgets, and goals only. For caregiver time logs or mileage reimbursement records, use a separate tool alongside Expense Trail.

What if my parent's costs vary wildly month to month?

Set your budget alert to your comfortable monthly ceiling, not a strict average. When a high-cost month triggers the alert early, you have advance notice to adjust discretionary spend elsewhere. Use the monthly Reports view to spot trends over three to six months rather than reacting to a single outlier.

Can I share the Parent Care wallet with a sibling?

Expense Trail does not have a multi-user shared wallet feature. Each person tracks their own costs. To coordinate with siblings, export a CSV from Reports and share it manually.
